Availability means: which vehicles you have, and which dates each one can be rented. RentalHalo uses it to decide what a customer is allowed to book.
Why this matters
If your availability is wrong, one of two things goes wrong. Either a customer books a vehicle you do not actually have free, or a customer cannot book a vehicle that is sitting unused.
How RentalHalo decides
For every vehicle, RentalHalo counts how many you have, then subtracts the ones already booked and the dates you have blocked. What is left is what a customer can book.
You do not have to mark a vehicle as busy after a booking. RentalHalo does that automatically the moment a customer books.
Making a vehicle available or unavailable
- Open Fleet in your dashboard.
- Choose the vehicle.
- Set how many of that vehicle you have. If you have three identical scooters, set three.
- Turn the vehicle off if it should not be bookable at all right now. Turn it on again when it is back.
Turning a vehicle off is better than deleting it. See Add, change and remove vehicles.
Blocking dates
Block dates when a vehicle cannot be rented for a period: it is being serviced, it is damaged, you have lent it out, or you are closed.
- Open Calendar in your dashboard.
- Find Block dates.
- Choose the vehicle, the first date and the last date.
- Save the block. Customers can no longer choose those dates for that vehicle.
The calendar also shows every pickup, every return and every block you have already made, so you can see the day, week or month at a glance.
Avoiding double bookings
- Keep the number of each vehicle correct. This is the most common mistake.
- Block dates as soon as you know about them, not on the day.
- If you also take bookings by WhatsApp or in person, block those dates in RentalHalo too, otherwise the website still thinks the vehicle is free.
Check before you go live
Open your own website and try to book, for today and for a date next month. If you can choose dates you should not be able to, fix the vehicle count or add a block.
