Bookings

What happens when someone books

From the customer pressing confirm to you handing over the keys.

Here is everything that happens, in order, when a customer books with you.

1. The customer books

They choose a vehicle and dates on your website, enter their details, and pay the RentalHalo Booking Guarantee to confirm. The rental itself they pay to you.

2. RentalHalo confirms it

RentalHalo checks availability and may hold inventory temporarily during checkout. An unpaid attempt is not a confirmed reservation. Confirmation follows verified payment; unpaid holds expire or are released through the booking flow. A failed payment does not mean that no hold existed.

3. The booking reaches you

It appears in your dashboard under Bookings, and you receive an email. The booking shows the vehicle, the dates and times, the customer's name and contact details, the rental total they owe you, and the Booking Guarantee they already paid RentalHalo.

4. Your availability updates itself

The booked quantity is unavailable for those dates. If you have more vehicles of the same model, the remaining quantity may still be available. Keep any off-platform rentals and blocks up to date.

5. The customer gets their confirmation

They receive an email with their booking details and a private link to their booking. From that link they can look at it, and change or cancel it if it is still allowed.

6. You run the rental

This part is yours, exactly as it always was: meet the customer, check their licence, take the rental payment and any deposit you ask for, hand over the vehicle, and take it back at the end.

Looking at a booking

  1. Open Bookings in your dashboard.
  2. Choose the booking you want.
  3. You see the vehicle, dates, the customer's details, what they owe you, and the whole history of the booking.

Good habits

  • Check your bookings every morning, so nothing surprises you.
  • Message a new customer to say hello and confirm the pickup. It prevents most problems.
  • Keep your availability correct, so a booking you cannot fulfil never happens.
